Job Description

A highly organized and detail-oriented Leader. We are Looking for someone who can manage an office; they will undertake administrative tasks, ensuring the office runs smoothly. The tasks of the office administrator will include bookkeeping and working on QuickBooks, working with spread sheets, ordering materials as needed, keeping client files up to date, making calls seeking new projects, following up with potential clients, etc. The ideal candidate will be competent in prioritizing and working with little supervision. They will be very organized, self-motivated and trustworthy. The office administrator ensures smooth running of the office location and significantly contributes to sustainable growth.

Duties include:

  • Answering telephone calls and emails from customers and clients and directing them to relevant staff if/when needed.
  • Office manager must be proficient in Quick Books, Excel and Word.
  • Managing staff, Payroll coordination, A/P, A/R, scheduling and all other general office duties.
  • Overseeing the work of all office employees to ensure service expectations are met and productively and meet deadlines and company standards.
  • Creating an office budget and ensuring all employees follow it.
  • Monitoring office supplies and ordering new stationery.
  • Interviewing and training new office employees and organizing their employment paperwork.
  • Reporting office progress to senior management and working with them to improve office operations and procedures.
  • Process payroll for employees and 1099 Contractors.
  • All other duties and task assigned within role.
Team Qualifications (Requirements):
  • Dedication to customer service.
  • Certified Public Accountant (CPA) designation is preferred.
  • Associate or bachelor's degree required.
  • Bank Reconciliation
  • Journal entry
  • Financial Statement preparation
  • Payroll
  • Organized but flexible. Must be able to prioritize and manage time.
  • Fluent in English (Spanish speaking is a plus).
  • Valid driver's license with a clean record.
  • Desire to continually learn new things..
  • Bookkeeping experience Required.
  • Quicken/QuickBooks experience Required.
  • Able to complete tasks on time with minimal supervision.

Compensation: $24.00 - $30.00 per hour
